Your information

Privacy policy

This policy explains what information Private Practice handles, why we use it, and the choices available to you when you use our platform.

Effective: 24 September 2026

01

Information we collect

We collect information you provide, information generated when you use the platform, and limited information received from service providers that support authentication, payments, storage, and platform operations.

  • Account details such as name, email address, telephone number, password credentials, account type, and organization information.
  • Professional profile information, qualifications, documents, specializations, experience, location, and profile images.
  • Job posts, applications, invitations, schedules, messages, reviews, wallet activity, and transaction records.
  • Technical information such as device, browser, IP address, access times, and security or diagnostic events.
02

How we use information

  • Create, secure, and administer user accounts.
  • Display relevant profiles, opportunities, applications, and invitations to authorized users.
  • Support engagement workflows, scheduling, wallets, payments, payouts, and transaction verification.
  • Communicate service messages, respond to support requests, and notify users about account activity.
  • Detect misuse, protect the platform, satisfy legal obligations, and improve performance and usability.
03

How information is shared

We share information only where it is needed to provide the platform, complete a user-requested interaction, protect legitimate interests, or meet a legal obligation.

  • Hospitals and specialists may see profile and engagement information relevant to their interaction.
  • Service providers may process data for cloud hosting, file storage, authentication, email delivery, analytics, and payment processing.
  • Authorities or professional bodies may receive information where disclosure is required by law or necessary to protect safety and rights.
  • If the business is reorganized, relevant data may transfer subject to appropriate confidentiality protections.
04

Payments and third-party services

Payment transactions may be processed by external payment providers. Those providers may collect and process financial information under their own privacy terms. Private Practice receives transaction references and related status information needed to operate wallet and payment features. Google authentication and other optional integrations are also governed by the provider’s applicable terms.

05

Cookies, tokens, and local storage

We use cookies, session tokens, and browser storage to keep users signed in, protect authenticated requests, remember account state, and support core platform functions. Some of these technologies are essential for the service to operate. You can control browser storage through your device settings, but disabling essential storage may prevent parts of the platform from working.

06

Data security and retention

We use administrative and technical safeguards intended to protect personal information, including access controls and protected authentication flows. No online system can guarantee absolute security. We retain information for as long as needed to provide the service, resolve disputes, meet legal and financial obligations, and enforce agreements, after which it is deleted or de-identified where appropriate.

07

Your choices and rights

Depending on applicable law, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information. You may update much of your profile through account settings. We may need to verify your identity before completing a request, and some records may be retained where required by law.

08

Children and sensitive information

Private Practice is intended for authorized adults and organizations participating in professional healthcare work. It is not directed to children. Users should not upload patient medical records or other clinical information unless a platform feature expressly requests it and they have a lawful basis to do so.
